As the Front Desk Receptionist, your role is vital to ensuring a positive experience for our customers by making an excellent first impression. The position entails welcoming customers, COVID-19 screening, answering questions, and making people feel comfortable upon entering the showroom. Additional administrative duties will include working closely with managers and employees to provide support for internal operations.
Responsibilities
- Answer, greet, and ensure professionalism in all communications with customers
- Acknowledge and greet everyone who enters Roman Bath
- Input customer information into our software (CRM)
- Direct customer inquiries to appropriate personnel
- Coordinate and process customer payments
- Match daily packing slips from shipping dept. to invoices received
- Perform various administrative functions including creating / printing labels, filing, and ordering supplies for the showroom as needed
- Maintain the cleanliness of the reception area and customer waiting area
- Perform other clerical and administrative duties as needed and directed by Managers
- Accurately book, change and cancel appointments
- Ensure that the payment process is handled in accordance with company policy by processing cash, credit card and credit transactions accurately thus protecting the company’s assets
- Answer the phone promptly and use the guest’s name throughout the phone conversation; operate phone system accurately and efficiently
- Handle customer questions and concerns promptly, professionally, and courteously
- Calling clients for order pick ups and issuing follow up email communication
- Scheduling pick ups/deliveries and inputting them onto our CRM
- Calling vendors for contact information updates, price book changes, and catalogues
- Assisting with customer service inquiries as needed
Required skills
- Friendly, pleasant, and an engaging personality
- Excellent verbal and written communication skills are essential
- Have excellent customer orientation with previous customer service experience
- Be at ease navigating computers and software, learn new software quickly
- Be at ease managing telephone system, printer, scanner, copier and fax machine
- Excellent execution skills and organization skills
- Ability to adapt well to often-changing environment
- Must thrive in a team-oriented, collaborative environment
- Be able to work autonomously with minimal supervision
Qualifications
- Proficiency with Microsoft Office (Excel, Word, Outlook)
- Excellent communication skills; fluent in English is a must
- Previous reception / customer service experience
- Be able to work in a fast-paced team environment
- Ability to work efficiently and effectively with minimal supervision, autonomous
- Capable of multi-tasking and excellent sense of organization
Hours of work:
Mon – Fri – 9am – 6 pm
